Separate Collection From Decisions
Organizing records is not the same as making a driver qualification decision. The motor carrier remains responsible for accurate documents and lawful qualification decisions.
Track Expiration Dates
Recurring review is often where small fleets fall behind. Track medical certificate dates, license dates and other recurring items in a calendar or file-management system.
Practical Checklist
- Create a file folder or digital location for each driver.
- Use the same checklist for every file.
- Flag missing, expired or unclear documents.
- Track expiration dates before they become urgent.
- Document who reviewed the file and when.
- Do not send sensitive driver documents through public website forms.
